Operational advisory for the customer experience

Lived. Measured. Elevated.

We observe the real experience, identify the causes inside the operation, and turn findings into priorities and concrete action.

Every organisation has a standard it intends to deliver. The distance between that standard and what a guest experiences on a Tuesday at two in the afternoon is what we assess.

We independently assess the experience your customers actually have — first from their perspective, then, where needed, from inside the operation.

01 · An independent perspective See the experience as it is actually lived, not only as it is described internally.
02 · From symptom to cause We identify not only what is not working, but what in the operation produces that result.
03 · From findings to action Clear priorities and a realistic plan for what is worth changing.
Why an external assessment

The standard exists. The question is whether it reaches the guest.

Most properties have procedures, standards and a clear idea of the experience they want to offer. What is harder to know is what happens to that standard on an ordinary day — at the third booking of the evening, during a busy shift, or when something does not go to plan.

Gaps rarely come from a lack of commitment. More often they come from processes that do not work as designed, information that does not travel from one shift to the next, or standards that different people interpret differently.

Online reviews can signal that a problem exists. They do not always say where it sits or, above all, why it appears. That is where the assessment begins.

“Experience is not a department. It is the result of how people, processes and purpose work together.”
What makes us different

More than mystery shopping.

QALIBRE connects the experience the customer lives with the operational causes that produce it and with the standard the brand promises.

The assessment does not stop at a checklist, or at noting whether a standard was met. We place the observations in context, look for the explanations behind them, and can turn them into priorities and concrete action.

The company is built on more than twenty years in hospitality, quality assurance, premium services and businesses where the customer experience is part of the product.

Services

What happens. Why it happens. And what we do next.

The four services address different stages of the same question: what the customer experiences, what in the operation produces it, and what is worth changing.

QALIBRE provides the priorities, the action plan and the implementation support. Decisions and operational execution remain the responsibility of the client. At 90–120 days we return and measure the progress.

Experience Observation

Unannounced. From the customer's perspective.

We live the experience exactly as a customer would, without the team knowing it is being assessed.

This is not a checklist exercise. We follow the whole journey, across touchpoints agreed in advance, with concrete observations and measurable indicators.

Experience Audit

Announced. From inside the operation.

Observation shows what the customer experiences. The audit goes inside the business to understand what produces it.

We look at things a customer cannot see: how information travels, how briefings are run, how long processes actually take, how standards are understood, and where procedure and practice diverge.

Experience Transformation

From findings to decisions and action.

The assessment and the audit tell us what happens and why. Experience Transformation turns findings and recommendations into clear decisions, priorities and coherent action, with support for implementation and for tracking progress.

Experience observationExperience auditExperience transformationRe-evaluation

For owners and managers of businesses where the customer experience is part of the product, and who want consistency between the experience delivered and the brand promise, QALIBRE is an operational advisory company focused on the customer experience.

We work through direct observation, conversations with the team and with management, tracking of the real processes, and review of standards, documents and feedback.

In this way we identify the gaps between the experience and the brand promise and the causes behind them. We recommend concrete changes, combining expertise in quality assurance, operations, brand, marketing and premium services.

You do not need to know from the outset which stage you need.

We start from the context and the challenges of the business, and establish the right journey together.

03

Prioritisation

We separate what needs immediate attention from what can be improved over time, weighing impact, feasibility and context.

04

Recommendations & Transformation

We turn findings into recommendations and, when the mandate includes Experience Transformation, into a prioritised action plan.

05

Re-assessment

At 90–120 days we can return to the experience to see what has changed, what works better, and where work remains.

About the company

A company built on twenty years in premium operations and services.

QALIBRE assesses the experience from the position of the person living it and, where needed, from inside the operation that produces it. The way we work does not come from a manual, but from years spent in operations where the standard was checked daily.

The company's experience rests on two professional paths: one in operations, quality assurance and premium services, the other in brand, positioning and communication.

03Evidence before opinion

Otilia Dina

The company was founded by Otilia Dina, whose background is in luxury hospitality — quality assurance and quality control, internal service assessments, standards monitoring and guest experience analysis, in Switzerland, Austria, Germany, France and other international markets. Later, vacation homes and international real estate added a perspective on the international client and on lifestyle-driven decisions.

That experience underpins the way QALIBRE looks today at a hotel, a restaurant, or any business where the customer experience is part of the product and has to be delivered to a high standard.

It includes quality assurance and quality control, internal service assessments, standards monitoring, guest experience analysis, B2B relations, startup growth, partnerships, customer experience and expansion into European markets.

Ioana Dogaru

Ioana Dogaru brings solid regional experience in positioning, marketing strategy and communication, built through projects for companies and brands in FMCG, retail, real estate, media and B2B services, with a particular focus on the F&B and hospitality industries.

At QALIBRE, Ioana connects the experience the customer lives with what the brand promises and with the way the organisation communicates and delivers that promise. She helps identify the gaps between intention and reality and turn them into clear priorities for positioning, communication and action.

How we work

What we guarantee, and what we do not assess.

The findings are yours.

The report is confidential and intended solely for the client. It is not promotional material for the company and is not published, in whole or in part, without your written consent.

We name no individuals.

Findings refer to roles and shifts, described generically. The report addresses the system and cannot serve as grounds for individual disciplinary action.

We hold no financial interest in our recommendations.

We take no commission from suppliers, resell no solutions, and recommend no partner we stand to gain from.

What we assess.

The experience — welcome, pace, communication, consistency, how a problem is answered, the environment, and the dignity of the interaction.

What we do not assess.

  • financial or contractual audit
  • sanitary, accreditation or licensing compliance
  • clinical care, treatment plans or medical competence
  • individual staff performance

Data and recordings.

Observations are captured in field notes. No audio or video recording takes place without prior written consent. Personal data is processed under the GDPR, and field material is anonymised before reporting.

Senior living — a limit designed in from the start.

We do not conduct covert observation of residents. The unannounced component is limited to the journey of a family looking for a place for a parent. The audit component is fully announced and consented, and any interaction with residents or families takes place only on the basis of explicit consent.

First step

A twenty-minute conversation, before any proposal.

We start with a conversation about the business, the context, and why you are considering an external assessment.

We want to understand what is happening before recommending a service or a route. If QALIBRE is right for your situation, the next step is a clear proposal, with scope, stages, duration and deliverables.

Mandates in Romania. We work in English and Romanian, and the deliverables and debrief can be conducted entirely in English — for international owners, operators and funds with assets in the country.

We send no newsletter and use your details for nothing else. We reply within two working days.
